For organising committees, not exhibitors — here's what actually drives an exhibition's production budget.
This one is for organising committees rather than individual exhibitors — the cost structure of putting on the show itself, not renting a stall within it. It scales very differently depending on hall size, duration and compliance requirements.
Hall hire and duration
Venue cost is usually calculated per day, so a four-day exhibition costs meaningfully more in pure hall hire than a two-day one, even before factoring in extended crew and security staffing across the additional days.
Operations and exhibitor services
A dedicated exhibitor help desk, power and rigging infrastructure, wayfinding signage and a rapid-response operations team all carry real cost, but they're also what determines whether exhibitors renew for the next edition.
Security and compliance
Fire safety and structural certification, security staffing scaled to expected footfall, and — for certain product categories — hazard-specific safety zoning all add cost proportional to the show's scale and risk profile.
Marketing and visitor acquisition
Budget for visitor-facing marketing should be sized against the footfall promised to exhibitors when stalls were sold — underinvesting here is one of the most common reasons an exhibition underperforms its own projections.
